We are seeking high quality candidates for the post of Office Manager. This role would best suit someone who is organised and a proactive problem solver. The ideal candidate will be able to take on a task and be trusted to efficiently complete it to a high standard.
Reporting to the Managing Director you would be responsible for the day to day running of the office including staff diaries and travel, IT equipment, staff and office contracts, business insurance, and health and safety.
Salary: Commensurate with experience

Hours: 37.5 hours, Monday to Friday
Based: York Science Park (with flexible part-time home working)

It is expected that candidates will:
Have several years’ experience in Office Management.
Be able to multitask time-sensitive tasks.
Have effective communication skills, verbal and written.
Be comfortable using Microsoft Office Suite.
Have experience maintaining relationships with external vendors/stakeholders.
Have experience of or be interested in human resources.
Be comfortable working as part of a team, with experience of leading a team or project.
Your role would be to:
Ensure smooth delivery of day-to-day admin tasks; act as first point of contact for business enquiries, co-ordinate mail and organise courier bookings, maintain stationery levels and sundry refreshments.
Support staff diaries, meeting room bookings on and off-site, arrange staff business travel and accommodation bookings (UK & abroad) and coordinate team meetings.
Manage the onboarding of new staff, manage staff files and coordinate leave requests.
Negotiate annual business insurances – Professional Indemnity; Employers Liability & Public Liability & Offices Contents; Personal Accident & Business Travel Insurance.
Manage offices, liaise with landlord on contracts and office maintenance. Attend Tenant Forum Meetings and Health and Safety meetings.
Act as Health & Safety Officer and the duties pertaining to such a role, such as the annual review of Office Risk Assessments.
Monitor IT Support system, maintain staff IT equipment inventory, warranties, and annual Cyber Essentials recertification.
Working with NNFCC’s IT provider, procure new office and IT equipment as required;
Manage ordering process for all purchase items made by the team and work with Finance Manager on payments.
